Private Group Event Venue: How Group Bookings and Buyouts Work

CipherX is a private group event venue with two Metro Vancouver locations, Coquitlam and Delta, hosting groups of 5 to 50+ in private, exclusive sessions with no strangers mixed in. Small groups book a single room or session; bigger groups run several escape rooms at the same time or rotate through different experiences over a half day or full day. Private buyouts are quoted on request, and most groups should book 2–4 weeks ahead, earlier in peak season.

Below is how group bookings work in practice: the formats, which one suits your headcount, how the two locations differ, and what to send in your enquiry so a coordinator can build your plan without a long back-and-forth.

What a Private Group Booking Means at CipherX

When you book as a group, the session belongs to your group. You won’t be paired with another party in an escape room or share a VR session with people you don’t know. That matters for team events, where the whole point is time with your own people, and for celebrations where you want to be loud without worrying about anyone else.

Each activity has a natural group size, and those sizes are the building blocks of any larger event:

Once you know those numbers, planning a private event is mostly about splitting your group sensibly.

Four Ways to Book a Group

1. A single private session

For 5 or 6 people, one escape room or one VR session is often all you need. Everyone arrives together, hears the same briefing and plays as one team. It is the simplest format to organise and the easiest to fit into a busy week.

2. Parallel sessions

Multiple escape rooms can run at the same time. A group of 12, for example, could split into two or three teams, each in a different room, then regroup afterwards to swap stories. Everyone stays on the same schedule, and the friendly rivalry over who got out gives the day a talking point. Our guide to escape rooms for large groups covers team-splitting in more depth.

3. Rotations over a half day or full day

For larger groups, teams rotate through different experiences: an escape room, then X-Grid, then VR, for example. Everyone gets variety, nobody waits around for long, and the event has a natural rhythm with built-in moments to regroup. This is how most groups in the 20 to 50+ range come together.

4. Private buyouts

If you want the venue to yourselves, private buyouts are available. Each one is quoted individually based on your date, location, headcount and the experiences you want, so contact the team for a quote rather than working from a published price.

Which Format Fits Your Headcount?

Treat this as a starting point. A coordinator will confirm what works for your date and location.

Custom packages can combine experiences, so if your team wants an escape room followed by a rage room round, say so in your enquiry. For food, ask about catering: catering add-ons and branded materials can be arranged on request.

Delta or Coquitlam: Choosing Your Location

Both locations run escape rooms, free-roam VR, X-Grid, the rage room, the splatter room and slime parties. The differences are the escape room line-up, the VR platform and two activities that run at one location only.

Delta, at 7949 120 St, sits on Scott Road right at the Surrey border. It suits teams coming from Surrey, North Delta or Langley, and it is the one to choose if axe throwing or golf is on your wish list. Start with the Delta event planner, and browse our ideas for private party activities in Delta.

Coquitlam, at 1065 Ridgeway Ave, is the natural pick for groups based in Coquitlam, Port Coquitlam, Port Moody, Burnaby or New Westminster. Plan it through the Coquitlam event planner.

Hours matter for daytime events. Monday to Thursday, Delta is open 12 PM to 11 PM and Coquitlam is open 2 PM to 10 PM. Coquitlam runs 12 PM to 12 AM Friday to Sunday, while Delta is open 12 PM to 12 AM on Friday, 11 AM to 12 AM on Saturday and 11 AM to 11 PM on Sunday. You can compare both on our locations page.

How to Enquire: What to Send

The quickest enquiries include everything a coordinator needs in the first message. Before you get in touch, gather:

  1. Date and backups: your preferred date plus one or two alternatives.
  2. Headcount: a range is fine early on, such as 18 to 24.
  3. Location: Delta, Coquitlam or open to either.
  4. Goal: team building, a celebration, a client event or a holiday party. The goal shapes the mix of activities.
  5. Time window: when you need to start and finish.
  6. Activities: anything you definitely want, and anything to avoid.
  7. Extras: whether you’d like to ask about catering or branded materials.
  8. Comfort and access needs: so the plan includes options everyone can enjoy.

On timing, book 2–4 weeks ahead and allow more for peak season, such as late-year holiday parties. On the day, ask everyone to arrive 15 minutes early for the briefing and waivers. Sharing the online waiver with your group ahead of time saves a queue at check-in.
